Privacy Policy
Last updated: October 1, 2026
This Privacy Policy explains how TekDot POS (“TekDot”, “we”, “us”, or “our”), collects, uses, shares, and protects personal data when you visit our websites, create an account, or use TekDot POS and its related apps (POS, Kitchen Display, Waiter App, Reservation app, QR Menu, Boss Reports, and Print Agent), together the “Services”.
It should be read together with our Terms of Use and Cookie Policy. If you have a signed agreement with TekDot, any data-protection or confidentiality terms in that agreement apply in addition to this policy and prevail if they conflict.
1. Our two roles
When we decide how data is used (“controller”)
For our own website visitors, people who contact us, restaurant owners who sign up, partners and resellers, and billing.
When we act for a restaurant (“processor”)
For data a restaurant, café, hotel, or resort (our “Client”) enters into or collects through TekDot — for example its staff, its guests, reservations, orders, room guests, and wallet balances. The Client owns that data and decides how it is used. We process it only to provide the Services to that Client and on its instructions. If you are a guest or staff member of a TekDot Client, please contact that business first about your data; we will help them respond.
2. Data we collect
| Category | Examples | Source |
|---|---|---|
| Account & contact | Restaurant / company name, owner name, email, phone, subdomain, password (stored hashed), plan and license status | You, at signup or in Settings |
| Enquiries & partners | Name, business, phone, email, message, chosen plan, where you plan to promote (affiliates) | “Talk to Us”, partner and contact forms |
| Billing | Plan, invoice amounts, payment method, payment reference / transaction ID, approval status | You and our payment partners (for example ABA). We do not store full card numbers. |
| Staff data (Client data) | Staff names, usernames, roles, login PIN, password (stored hashed), work periods, sales per staff, actions such as voids and discounts | The Client |
| Guest data (Client data) | Guest name, phone, reservation details, pre-orders, room number, customer account / tab charges, wallet balance and top-ups | The Client, or the guest via the Reservation app / QR Menu |
| Business & transaction data (Client data) | Menus, prices, orders, payments, expenses, inventory, reports, audit logs | Generated by using the Services |
| Location | Website: device coordinates, only if you click Accept on our cookie banner and your browser allows location. Guest apps: when a Client turns on Geofence, the guest’s location is checked on the device to detect arrival; on arrival we receive one location point and distance so staff can greet the guest. | Your device, with browser permission |
| Technical | IP address, browser / device type, language, pages visited, error and security logs, cookies and local storage | Automatically, see Cookie Policy |
We do not knowingly collect data from children under 16. TekDot is a business tool and is not intended for children.
3. Why we use it
- To provide the Services — run POS, kitchen, reservations, reports, printing, backups, and support (performance of our contract with you).
- To bill and manage licenses — invoices, trials, renewals, suspension for non-payment (contract and legal obligations).
- To keep TekDot secure — prevent fraud, abuse, and unauthorized access; investigate incidents (legitimate interests).
- To respond to you — answer enquiries, demos, partner requests (your request / legitimate interests).
- To improve TekDot — using anonymized and aggregated data from which no Client, venue, or person can be identified (legitimate interests).
- To send service notices — updates, maintenance windows, security notices. Marketing messages only where allowed, with an opt-out.
- To meet legal duties — tax, accounting, and lawful requests from authorities.
We do not sell personal data, and we do not use Client data for advertising.
4. Who we share it with
Only with service providers who help us run TekDot, under confidentiality obligations, and only what they need:
- Cloud hosting and backup providers — servers that store and back up the Services.
- Payment partners — such as ABA Bank, to confirm license and wallet payments.
- Messaging — Telegram (internal notifications to our team about enquiries, signups and payments) and email delivery providers.
- Content delivery — font, icon, and map providers (for example Google Fonts, Font Awesome, cdnjs/Cloudflare, OpenStreetMap map tiles) that receive your IP address when assets load.
- Your own Client — staff and guest data is visible to the restaurant you work for or visit.
- Resellers / partners — if you signed up through an authorized TekDot partner, they may see your account and license status to support you.
- Authorities or advisers — when required by law, to protect our rights, or in connection with a merger, sale, or restructuring (with the same protections continuing).
5. International transfers
TekDot serves Clients in Cambodia, Singapore, Malaysia, the Philippines, Hong Kong, Thailand, and Vietnam. Your data may be stored or processed in a country other than yours. When we transfer data across borders, we use providers that apply appropriate safeguards and protect it as described in this policy.
6. How long we keep it
- Client data — for as long as the account is active. After the account ends, we keep it for at least 30 days (or longer if your agreement says so) so you can request an export, then delete or anonymize it, except where the law requires us to keep it longer.
- Backups — rotate automatically and are overwritten on a rolling schedule.
- Billing records — as long as tax and accounting law requires.
- Enquiries and website technical data — only as long as needed for the purpose above.
7. How we protect it
- Encryption in transit (HTTPS) and hashed account passwords
- Each restaurant’s data is separated by tenant, with role-based access for staff
- Access by TekDot personnel limited to what is needed for support and operations
- Regular backups stored separately from the live system
- If a data breach affects you, we will notify the affected Client (and, where required, the authorities) without undue delay
No system is 100% secure. You are responsible for keeping your passwords, PINs, and devices secure, and for the accounts you create for your staff.
8. Your choices and rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you, or ask for a copy
- Correct inaccurate data
- Ask us to delete data, or restrict or object to how we use it
- Withdraw consent, for example for location (turn it off in your browser settings)
- Opt out of marketing messages at any time
- Complain to your local data-protection authority
Restaurant owners can export most business data from the POS. For data held on behalf of a Client, we will pass your request to that Client. We may need to verify your identity before acting on a request.
9. Restaurants’ responsibilities
If you are a TekDot Client, you are responsible for having a lawful basis to collect your guests’ and staff’s data, for giving them any required notices (for example a privacy notice at your venue or on your reservation page), and for turning on features such as Geofence only where appropriate.
10. Changes
We may update this policy from time to time. The “Last updated” date will change, and for material changes we will give notice on the website, by email, or in the product.
