How to set up taxes: VAT, GST, Sales Tax & Service Charge

TekDot works in any country. Pick your country, check the rates, and every bill, receipt and report shows your taxes by name — added on top of your prices, or already included in them.

9 steps About 3 minutes Owner or staff allowed to change settings

Before you start: know your tax rates, and whether your menu prices already include tax or the tax is added on top. Not sure? Ask your accountant.

Part 1Open the tax settings

Step 1: Tap Settings

On the POS home screen, tap the gear icon at the top right to open Settings. You need to be the owner, or a staff member allowed to change settings.

  1. Settings (gear icon).

Step 2: Open Restaurant Information → Taxes & Charges

Tap Restaurant Information on the left, then scroll down to the Taxes & Charges card.

  1. Restaurant Information.
  2. Tap Set up taxes for any country.

Until you set up a tax list, TekDot uses the simple Tax Rate, Service Charge and PLT fields above this card — nothing changes for your bills until you save a list.

Step 3: The Taxes & Charges window opens

The window starts with the taxes you already use, so you can simply adjust them. Every change shows straight away in the example at the bottom.

  1. Start from a country — fills in the usual taxes for you.
  2. Your tax lines, applied to every bill in this order.
  3. Example — what a guest pays for $100 of food and drinks.
  4. Save taxes when you are happy.

Who can do this: the owner, or staff allowed to change settings. The taxes apply only to your restaurant.

Part 2Choose your taxes

Step 4: Pick your country and tap Fill in

Choose your country and tap Fill in. For Singapore you get a 10% Service Charge and 9% GST. GST is worked out on the food plus the service charge, exactly as Singapore requires.

  1. Country — 24 countries, from Cambodia and Singapore to Australia, the UK, the USA and Canada.
  2. Fill in — replaces the lines below with that country's usual taxes.
  3. The guest pays $119.90 for $100 of food: $10.00 service + $9.90 GST.

The rates are typical rates only. Check them with your accountant — you can change any number afterwards.

Step 5: Prices that already include tax

In many countries (Australia, New Zealand, UK, Europe, Japan) menu prices already include the tax. Set that line to Already in prices: the guest pays the menu price, and the receipt shows how much tax is inside it.

  1. Already in prices — the tax is inside your menu prices.
  2. Incl. GST (10%) $9.09 — shown on the bill for information, not added.
  3. The guest still pays $100.00.

Step 6: Change a line or add your own

Every line can be changed. Tap Add tax or charge for anything extra — a city tax, tourism levy, packaging fee… Here we added a 1% Tourism Levy.

  1. On — untick to switch a tax off without deleting it.
  2. Name — exactly as it should print on the receipt (VAT, GST, Sales Tax…).
  3. % — the rate.
  4. Tax or Service / charge — keeps tax and service separate in your reports.
  5. Added on top or Already in prices.
  6. On subtotal, or On subtotal + lines above (tax charged on the service charge too).
  7. Move the line up / down, or delete it. Lines are worked out from top to bottom.
  8. Add tax or charge — add a new line.

Part 3Save and check your bills

Step 7: Tap Save taxes

After saving, the card shows your taxes. The simple Tax Rate / Service Charge / PLT fields are hidden because your tax list is now used for every bill.

  1. Tax list in use and the taxes that are switched on.
  2. Edit taxes & charges — change them any time.

Step 8: Your taxes appear on every bill

Open any table: each tax shows by its name, and the total updates as you add items. The payment screen, TekDot GO waiter app and printed receipts use the same amounts.

  1. Service Charge (10%) $2.25.
  2. GST (9%) $2.23 — on the food plus the service charge.
  3. Total $26.98.

Step 9: And on the receipt

The receipt prints the same lines. Taxes that are already in the prices print as Incl. … so the guest can see the tax amount.

  1. Service Charge (10%).
  2. GST (9%).
  3. TOTAL the guest pays.

Your taxes are set up

Every new bill now uses your taxes. Open bills update the next time they are opened; paid bills never change.

Common questions

What is the difference between "Added on top" and "Already in prices"?

Added on top: the tax is added to the menu price (menu $10 + 10% = guest pays $11). Already in prices: the menu price already includes the tax (menu $11 = guest pays $11, and the receipt shows "Incl. tax $1.00").

When should I choose "On subtotal + lines above"?

When the tax must also be charged on the lines above it — for example GST on the food and the service charge (Singapore, Thailand). Choose "On subtotal" when each tax is only charged on the food, like GST + PST in Canada.

Can I have two or more taxes?

Yes — add as many lines as you need, for example GST + PST, or CGST + SGST. Each one prints separately on the receipt.

How do I turn a tax off for a while?

Untick On for that line and tap Save taxes. The line stays in your list, ready to switch back on.

What happens to bills that are already open?

Open bills use the new taxes the next time they are opened. Bills that are already paid never change.

How do I go back to the simple Tax Rate field?

Open Taxes & Charges and tap Back to simple Tax Rate at the bottom left. Your old Tax Rate, Service Charge and PLT values are used again.

Can different items have different tax rates?

Not yet — the taxes apply to the whole bill. Contact us if your country needs different rates for food and drinks.
